Laie YSA & LMS Scheduling Policies

General Scheduling Policies

Most campus space is considered multi-use space; therefore, it is scheduled centrally through University Scheduling. Space will be scheduled in a manner consistent with the institution’s mission, educational priorities, and without placing undue hardship on necessary support personnel, students, and resources.

Use of space must be in accordance with all university policies and safety regulations.

Event space is allocated on an institutional mission-based priority as managed by the Space Utilization Council. Preference is given to serving our students rather than becoming a community event center.

Event monitors will be assigned when deemed necessary.
  • No ward or stake activities are allowed after 6 pm on third Sundays during the semester due to club gospel forums.

  • Monday evenings are designated by the First Presidency for home evening to foster gospel learning and unity.

    At BYU–Hawaii, all classes and student activities end by 7:00 pm on Mondays to support participation in ward home evenings, especially within the Laie YSA 1st, YSA 2nd, and Married Student Stakes.

  • Wards wishing to access designated church spaces on campus for setup or breakdown must contact University Scheduling in advance to reserve a time.

    The university does not automatically assign setup or takedown times for wards.

  • BYU–Hawaii does not provide AV equipment or technical support for ward or stake use in campus facilities. All audiovisual needs must be met by the wards or stakes themselves.

    AV equipment may not be stored in university meeting spaces or in university-owned media cabinets. All equipment brought in for use must be removed immediately after each event.

    Any items left in spaces will be removed and stored by the University Scheduling Office until collected by the owning ward or stake.

  • All Sunday meeting times are scheduled by University Scheduling based on the official schedules provided by the YSA 1st Stake, YSA 2nd Stake, and the Laie Married Student Stake.

    These scheduled times cover only the two-hour block on Sundays (Sacrament Meeting and Second Hour).

    All other activities—such as Temple Preparation Class, Break-the-Fast, and similar events—must be scheduled separately by each ward through the Other Ward Event form.

  • University Scheduling manages the official BYU–Hawaii Wards Website, which provides updated information for all campus-affiliated wards.

    To ensure accuracy, any changes in ward leadership must be submitted using the of Ward Leadership Contact Form. This allows University Scheduling to update the website promptly and keep ward directories and contact details current.
