Sponsorship of Non-BYUH Organizations
All BYU–Hawaii wishing to bring non-BYU–Hawaii groups on campus for activities or meetings involving individuals outside the sponsoring organization must complete this sponsorship application process a minimum of 21 business days in advance.
- Full sponsorship authorization is required before facility or equipment usage can be requested or scheduled.
- Such events are subject to established scheduling priorities and fees.
- Indemnification and Liability coverage may be required.
What to Do
- Print Sponsorship Application and carefully review the document and required items
- Compose a brief one-or two-page outline with complete details of request
- Obtain signatures
- Submit complete application to University Scheduling at universityscheduling@byuh.edu
- Complete the BYU–Hawaii Waiver Request for Community Participants form. Risk Management will determine if a waiver is required based on the details provided.
- If Minors Are Participating: All BYU–Hawaii faculty, staff, student workers, service missionaries, etc. involved in the event is required to complete the Protection of Minors Training steps one and two.
- Provide a list of all involved to University Scheduling at least 10 days prior to the day of your event with the:
- First and last name
- BYUH ID #
- When completing the Protection of Minors Acknowledgement and Agreement form, please list the name of and date of your event in the "Youth Afiliations(s)" field. Individuals who have not completed the training will be ineligible to participate in activities involving minors.
- Provide a list of all involved to University Scheduling at least 10 days prior to the day of your event with the:
The Sponsorship Review Committee will review the application to confirm compliance with university policies and procedures, followed by your upline VP for final approval.
