Student Leadership & Service: Clubs Scheduling

This page is dedicated to helping club supervisors of Student Leadership & Service with the process of scheduling spaces for activities of the student clubs on campus. We encourage this to be used for training new employees and as a reminder for current staff. Contact The Hub directly for scheduling events there.

SLS Club Supervisor Procedures

Do not refer club presidencies or advisors to contact us for scheduling club events.

What you Need to Know

  • Schedule from the time you want access to the room for your set up and clean up needs. For example, if you want to do decorations in the ballroom three hours before the start of the event, which is 7 pm, you're going to search for the room starting at 4 pm.

    • Read the "About" for the template you're using for rules of template.
    • Make sure to use the correct template. We will deny your request if the wrong template is used and remove the templates being abused.

  • If you are not able to schedule an event online using the Book a Large Facility, Book a Room Only, or Book a Room with Set Up templates, call or email University Scheduling at (808) 675-3780 or universityscheduling@byuh.edu and provide the information listed.

    Not Available for Swimming Pool or Hale Sports Court requests.

    • Name of event
    • Date of event
    • Location
    • Event start and end time
    • What time access is needed to the space
    • Detailed description of event and what is happening
    • How many people are expected
    • Who the audience is
    • Resources needed:
      • Tower Lights (at least a week in advance)
      • FM items (at least three days in advance)
        • Club events: FM will deliver items and the club must do their own set up.
        • Department events: a map is required the same time reservation is made.
  • Clubs are expected to follow all facility guidelines. Warnings are not given, and any violation will result in an infraction. Infractions mean the club will lose access to that space for the rest of the semester.

  • Reading Day: Student activities on Reading Day is not allowed.

    Grassy Areas at TVA: We do not schedule any clubs events on the grassy areas in TVA.

    Grassy Field Between Faculty Homes and Temple: We do not schedule any university department or club events on the grassy field between the faculty homes and temple.

  • Cooking is not permitted on campus. However, the ballroom kitchen, HGB kitchen, and stake center kitchens may be used for reheating food or for demonstration purposes only.
    This restriction does not apply to designated residential living areas, such as the Hales or TVA.

  • To support our Laie Hawaii Married Student stake and the TVA evening quiet hours, pavilion use ends at 8:00 p.m. Events must conclude by this time and reservations submitted after 8pm will be denied.
